ChefTek, LLC is Denver Metro and Colorado’s premier commercial repair specialists. We service marque establishments, businesses, restaurants, breweries, and grocery stores, performing work on HVAC, cold side equipment, hot side equipment, ice machines, and specialty appliances.
The Dispatch & Billing Specialist is a critical role to daily business operations. As the Dispatch Billing Specialist, you are the communication liaison between our customers and technicians. In this role, you will be handling a variety of tasks (scheduling, billing, parts ordering, inventory control, daily interaction with our technicians) to support our customers, vendors, and business operations. You will ensure customer work orders and concerns are addressed promptly and then dispatched and routed to the proper technician using our state-of-the-art field management technology platform. You will also ensure all customer work orders are accounted for and billed appropriately to our customers utilizing our field management software. The Dispatch & Billing Specialist will also be responsible for re-routing same day work orders, if necessary, as well as communicating with our customers and technicians on any billing inquiries, updates, or timelines related to work orders. The Ideal candidate is interested in learning about the restaurant equipment repair process, is highly organized and would enjoy developing the written communication skills of team members.

Dispatches customers’ work orders to our technician’s job board through our field management software. Efficiently re-routes schedules as needed throughout the day
Follows up with technicians to ensure jobs and notes are completed in our field management software system for customer billing.
Accurately accounting for technician hours, call back hours, and work order parts to ensure proper invoicing.
Communicates work order needs to customers and technicians
Follows up with customers on arrival times, scheduling conflicts, or billing inquires
Performs clerical duties such as entering in notes for billing, looking up and entering in parts or equipment into our field management system
Other responsibilities may include: Building product inventory and pricing strategy, organizing the office and warehouse, building customer relationships, new customer sales, building technician relationships, and developing relationships with sub-contractor network
Hours of operation are Monday thru Saturday 7a - 4p. Must be able and willing to work rotational emergency/on-call as needed. Full-time schedule is Monday – Friday; 40 hours per week, paid overtime available.
Part-time schedule is Monday and Tuesday, 10 hours each day, and Wednesday 5-8 hours. Both schedules may be subject to change to meet the needs of the business.
High school diploma or GED
2 years’ experience in Dispatching, scheduling, billing, customer service or related field
Prior invoicing experience using Quick Books Online (QBO), QuickBooks Desktop, or Field Management Software (i.e., Service Titan, Mhelp Desk, Service Fusion, Field Edge or the like)
Detail oriented with exceptional organizational, customer service, and communication skills
Highly proficient computer skills (Microsoft Word, Outlook, PowerPoint, Excel and Google Suite).
High proficiency to navigate computer, tablet, and smart phone-based technology
Must be very motivated and self-sufficient to follow through on duties and assignments with little to no supervision
Associates degree or higher
2 years dispatching, scheduling, billing, and customer service experience in commercial HVAC or food service equipment repair industry OR similar experience within the residential space
Scheduling experience working with field management software’s (ie Service Titan, Mhelp Desk, Service Fusion, Field Edge or the like)
Bi-lingual English and Spanish speaking
Frequent sitting with occasional standing and walking
Light lifting of office equipment or parts
Must be able to use your hands and fingers for computer usage and picking up or moving office equipment
